PRODUCTION ADMIN. ASSISTANT \\ THE POSITION

We are looking for a highly organized, positive, analytically focused, professional individual to fill the role of Production Admin Assistant. You will work closely with the Production Administrative Manager to provide office support to several of our producers in the planning, scheduling, and pre-/post-event financial reconciliation tasks with the goal of making the Producers’ events a complete success.


\\ THE WORK

  • Regularly perform clerical duties for multiple producers, such as booking travel, preparing financial reports, production schedules, and contracts
  • Prepare, track, and reconcile budgets including invoicing, entering purchase orders, and providing periodic progress reports for events/projects
  • Act as project manager on tasks as assigned by producer
  • Communicate with vendors and clients as required
  • Purchase, pick up and deliver props, crew meals, or equipment as necessary
  • Be present and available in the office to complete last-minute tasks when producers are at events


\\ THE REQUIREMENTS 

  • College degree preferred
  • Proficient in MS Suite – Word, Excel
  • Excellent interpersonal communication skills (written and verbal)
  • Understanding of project management
  • Proactive, driven person who takes ownership of their work and thrives in challenging environments
  • Highly self-organized with the ability to manage competing priorities and large volumes of information timely and accurately
  • Ability to handle ambiguity, last minute changes and multiple priorities
  • Strong analytical and problem-solving skills
  • Flexibility in schedule; must be available to work possible evenings, weekends, and holidays when needed
